Accounts

One queue for what is owed and what was paid.

Accounts defines the fee structure, applies scholarships and penalties, reviews student payment claims, and matches deposits to the bank statement.

Morning

What they see

The dashboard they open first, grounded in the live product.

  • Fee structures and types

Create types first, then structures for course, batch, and semester. Students see the dues that structure defines when a payment window opens.

  • The payments queue

Filter claims by status, semester, batch, course, or date. Open amount, mode, reference, receipt, and any matcher suggestion on one claim.

  • Bank rows and reconciliation

Upload a statement, inspect parsed rows, ratify high-confidence matches, and work unclaimed deposits by hand.

Relief

What they stop chasing

They stop reconciling deposits in a spreadsheet that never matches the student claim.

Day

How the day runs

A concrete path through the live product, not a brochure funnel.

  1. Align the structure

Confirm fee types and structures before the window opens. Scholarships and penalties stay in their own areas so the net payable stays honest.

  2. Work the claims queue

Open Payments. Check amount, mode, reference, and receipt. Approve, reject, or ask for a correction with a remark the student can read.

  3. Upload the statement

Bring the bank file in. The parser creates rows from the export format Accounts already configured.

  4. Reconcile the deposit

Ratify auto-matches. Link unclaimed rows. Investigate mismatches. The claim and the bank line become one decision.
