Scholarship tracking

When a scholarship is a manual adjustment.

The fee is calculated, then someone subtracts the scholarship in a sheet. The penalty is another note. What the student owes is whichever number was edited last.

Friction

What breaks on paper

How the mess shows up when fees, attendance, or the timetable run in silos.

  • The award is a side edit

Scholarship amounts live in a spreadsheet or a remark. They never land on the same fee record the student pays against.

  • The penalty is another note

Fines sit in a second list. Total payable and outstanding drift apart because nothing ties them to the cohort structure.

  • The net is whoever edited last

Accounts cannot open one student ledger and trust total payable, paid, and outstanding without reconciling three places.

Already live

The flow already running

How Spanworth holds the same work end to end, without a side spreadsheet.

  1. Types and structure

Accounts defines fee types as data, then builds a structure for batch, course, and semester. Mandatory lines copy onto the student when they enter that cohort.

  2. The scholarship

Search by college roll or name, pick a scholarship type and semester, set the amount, and issue the award. Pending awards wait for approval.

  3. The penalty

Issue a typed fine on the same student and semester. The default amount comes from the penalty type; override when needed.

  4. The net

Accounts opens the student and sees total payable, paid, and outstanding with fee items, payments, scholarships, and penalties on one ledger.
